The free in-depth assessment

You send two exports from Raiser’s Edge. We run them through the Matreas migration engine in analysis mode, which reads and writes nothing anywhere. You get a report on what is actually in your database and a 45-minute walkthrough. Free, with no obligation.

What you get

The report is yours. Many schools read it and stay where they are. That is a fine outcome, and it is a better-informed one.

What you send

Two CSV files, both produced in Database View from Query and Export. Nothing else, and no access to your system.

A constituent export, from Web View

In Web View, open Lists, make a constituent list with no filters so every record is included, and export it as CSV with the default columns. That export carries the constituent ID, name, address, email, phone, constituent codes, solicit codes, tags, education, spouse, giving summary, and any wealth-screening columns your list shows. If you only work in Database View, a constituent Export with the same fields works too.

A gift export, from Database View

In Database View, open Export, choose Gift, use a gift query with no criteria, and export as CSV with the standard gift fields: gift ID, import ID, the constituent’s ID and name, date, amount, type and subtype, fund, campaign, appeal, batch number, check date and number, acknowledgement and receipt fields, installment schedule for pledges, and the honor or memorial name where used. The column names Export produces (they begin with Gf_) are the ones the engine expects.

If a field is missing, send what you have. The report says so where it matters.

The data agreement

This is the whole agreement. We send it to you as a one-page document before you send anything.

Data-handling agreement for the free in-depth assessment

Version: draft 2026-09-03

Status: draft, not yet signed off

What you send

Two CSV exports from Raiser's Edge Database View: a constituent export and a gift export. Nothing else. No passwords, no login, no access to your system.

What we do with it

We run the two files through the Matreas migration engine in analysis mode. It reads; it writes nothing to any system, yours or ours. The output is a report about your data: what would land where, what has no clean destination, suspected duplicates, do-not-contact exposure, attribute categories and their values, and constituent, gift, fund, pledge, and fiscal-year totals. We walk you through it in a 45-minute call. The report is yours to keep and share.

Who sees it

One person: Greg Olsen, Matreas. No contractor, no partner, no other staff.

How long we keep it

Your files are stored encrypted while the assessment is in progress. We delete them, and every working copy, within 30 days of delivering your report, and we confirm the deletion to you in writing.

What we never do

We never share, sell, or lend your data. We never use it to train, tune, or test anything. We never contact the people in your file. We never use it for anything except your assessment.

How to withdraw

Ask at any time, by email, and we delete everything sooner. We confirm in writing.
